WhatsApp CRM: 7 Use Cases for Customer Engagement

How businesses use WhatsApp for marketing campaigns, customer support and appointment reminders — and how to manage it from a CRM without switching tabs.

Why WhatsApp is a serious CRM channel

WhatsApp has over 2 billion monthly active users. For businesses in India, Southeast Asia, Latin America and much of Africa, it is the primary channel for both customer service and purchase decisions. Ignoring it means ignoring the channel your customers actually use.

The challenge is that WhatsApp conversations happen outside most CRM systems — which means a sales rep closing a deal over WhatsApp leaves no trail in the CRM, and a support agent resolving a ticket over WhatsApp leaves no record that the next agent can read.

Use case 1 — Campaign broadcasts

Send promotional messages, product announcements or seasonal offers to opted-in contact lists. Unlike email, WhatsApp messages are read within minutes. Effective for flash sales, event invitations and high-priority announcements.

Use case 2 — Order and delivery notifications

Transactional messages (order confirmed, shipment dispatched, delivery estimated) have extremely high engagement on WhatsApp. They feel personal and conversational, unlike email order confirmations that get lost in inboxes.

Use case 3 — Appointment reminders

Healthcare, professional services and fitness businesses reduce no-show rates significantly by sending WhatsApp reminders 24 hours and 2 hours before an appointment. A two-tap confirmation in the reply thread is more reliable than an email that requires someone to find a link.

Use case 4 — Customer support

Let customers raise support requests via WhatsApp. The message lands in the agent queue alongside email tickets. The agent replies from the CRM; the customer sees the reply in their WhatsApp conversation. Neither party needs to switch channels mid-conversation.

Use case 5 — Lead qualification

Route incoming WhatsApp messages from web forms or QR codes through an automated qualification sequence before assigning to a human agent. Collect name, company, requirement and budget in a structured conversation before the rep picks it up.

Use case 6 — Surveys and feedback

Post-purchase or post-service satisfaction surveys sent via WhatsApp typically get 3-5x higher completion rates than email surveys. Short, conversational surveys ("On a scale of 1-5, how would you rate your experience?") work well in this format.

Use case 7 — Re-engagement

Reach lapsed contacts who have stopped opening emails. A personalised WhatsApp message from a named account manager is far more likely to restart a conversation than another automated email sequence.

How LeafyOps CRM manages WhatsApp

LeafyOps CRM includes native WhatsApp Business API integration. Campaign broadcasts, inbound message routing, agent queues and automated sequences all run from the same workspace as your email and SMS campaigns. Every WhatsApp conversation is attached to the contact record — so when a contact who raised a support ticket over WhatsApp later gets a marketing campaign, the agent can see the full history in one place.
